Event And Trade Show Logistics Built Around A Date That Cannot Move
Booths, crates, displays and equipment delivered inside your move-in window, stored during the show, and collected the same night it closes, handled with the same precision as our industrial logistics work.
- Advance warehouse or direct to show site
- Move-out booked before you arrive
- Booth storage between shows

Two Ways In
Advance Warehouse Or Direct To The Show Floor
Every exhibitor faces the same choice, and most people make it without knowing there was a decision to make. Freight can go to the show’s advance warehouse a few weeks early, where it is received, held and then delivered to your booth space when move-in opens, not unlike the venue coordination we handle for our hospitality logistics clients. Or it can go direct to the venue during the window the organizer assigned you. Direct is cheaper and works well when your window is generous and your truck is close by. The advance warehouse costs more, and it buys you the one thing money usually cannot buy at a trade show, which is a second chance. If a truck breaks down two days before a direct delivery, the show still opens without you. If it breaks down two weeks before an advance shipment, nobody ever finds out.
Direct To Show Site
- Arrives during your assigned window
- Lower cost overall
- Trucks may wait at a marshalling yard
- No margin left if anything goes wrong
Advance Warehouse
- Arrives at the warehouse weeks early
- Higher cost, received and stored for you
- Delivered to your booth as move-in opens
- Problems surface while there is time to fix them
Move Out
Everyone Leaves At The Same Time, And That Is Where Freight Goes Missing
Getting into a show gets all the planning. Getting out is where exhibitors actually lose property, and it happens for a predictable reason. The moment a show closes, several hundred exhibitors start packing at once, all waiting on the same crews to return the empty crates that were stickered and stored days earlier. Empties can take hours to come back. Carriers have a cut-off, and any freight still sitting on the floor after it passes gets handed to the official show carrier at whatever rate applies, then shipped wherever their paperwork says, the same piece-count discipline we apply across our manufacturing logistics work. We book the outbound leg at the same time as the inbound one, file the return paperwork with the show before the doors close, and give the driver a piece count to check against rather than a rough idea of what to collect. It is unglamorous work and it is the reason your booth comes home.

Where We Work
Events We Move Freight For
Exhibitions are the bulk of it, but the same problem shows up wherever there is a fixed date and a room that has to be ready.
Trade Shows & Exhibitions
Conferences & Conventions
Product Launches & Roadshows
Pop-Up Retail & Brand Activations
Corporate Meetings & Annual Meetings
Sporting Events & Tournaments
Concerts & Live Productions
Film, Photo & Broadcast Shoots
What these share is that the date is set by somebody else and the venue belongs to somebody else, whether that’s a product launch coordinated through our food and beverage logistics network or a medical conference supported by our healthcare logistics solutions. Both facts remove options you would normally have. There is no arriving a day early because the hall is still being built, no arriving a day late because the audience is already there, and no leaving a pallet in a corner because the room is booked for something else on Monday morning. Give us the venue, the move-in window and the move-out time, and the schedule gets built backwards from those three.
What It Requires
What Event Freight Has To Get Right
A Window, Not A Day
Organizers assign a move-in slot measured in hours. Routes are planned backwards from that slot, with the arrival buffered rather than cut fine.
Every Piece Labelled And Counted
Show name, exhibitor name and booth number on every crate and carton, with a piece count that gets checked at collection and again at delivery.
Show Paperwork Prepared
Bills of lading completed to the organizer’s format and filed on time, because a missing outbound form is the most common way freight ends up on the wrong truck.
Empties Managed During The Show
Crates stickered, stored off the floor and requested back early enough that packing can start when the show closes rather than three hours later.
Move-Out Booked In Advance
The return leg is arranged when the inbound is arranged. Trying to book a carrier on the last afternoon of a large show is a poor position to be in.
Temporary Import Handled Properly
Booth property crossing the border for a show and coming back should not be treated as a permanent import. Set up correctly, the duty does not apply.

Client Feedback
Exhibitors On Their Setup Days
“We shipped to the advance warehouse for the first time on their advice and it made the whole week calmer. Our crates were on the stand when we walked in at eight, and we spent the morning building the booth instead of calling a dispatcher.“
Marketing Manager
Industrial Equipment Exhibitor, Oakville
“We lost a crate of display units at a show two years ago and never got a clear answer about where it went. Since moving to ENorth the outbound paperwork is filed before we leave and the piece count is checked in front of us. Nothing has gone missing since.“

Common Questions
Questions Exhibitors Ask Us
A facility the show organizer designates to receive exhibitor freight in the weeks before a show. Your shipment is held there and delivered to your booth space when move-in opens. It costs more than shipping direct, and it gives you time to fix a problem if one appears.
The charge for moving your freight from the dock into your booth and back out again, billed by the show's official contractor rather than by your carrier. It is usually calculated by weight in hundred pound increments with a minimum, which is why a light shipment can still carry a noticeable charge.
A holding area near the venue where trucks check in and wait to be called to a dock. Large shows use them to control traffic. Waiting time is normal and it is one reason direct-to-site delivery needs a buffer built into it.
At most shows, yes. You can ship with whoever you choose, though the official contractor still handles the movement between the dock and your booth and still bills for it.
It depends on the show. Some will fit you in later, some will not let a truck onto the dock outside its slot at all. This is the main argument for the advance warehouse, since a missed window there costs you nothing.
Yes. Booths, crates and displays are stored between events, inspected on return, and shipped straight to the next venue when the time comes.
Yes. Freight moves from one venue to the next on a schedule built around each show's move-in window, with storage in between where the gap is long enough to need it.
Yes, in both directions. Booth property going down for a show and coming back is handled as a temporary import so duty does not apply, while giveaways and literature that stay behind are treated separately because they are consumed there.
