Validated Cold Chain Ā· Canada & USA

Cold Chain Logistics For Products That Cannot Warm Up

Storage and transport for temperature-sensitive products, with the equipment qualified, the conditions recorded and the paperwork ready for an auditor. Built for shipments where proving the temperature held matters as much as holding it, run as part of our broader cold logistics solutions.

The Basics

What Cold Chain Logistics Means

A cold chain is the unbroken run of controlled temperature conditions a product travels through from the moment it is made to the moment it is used. Cold chain logistics is the work of keeping that run unbroken and being able to prove it afterwards. The proving part is what separates it from simply owning refrigerated equipment. For regulated products, a shipment that arrived cold but has no complete temperature record is treated much the same as one that warmed up, because without evidence there is no way to release the product with confidence. The chain also breaks in more places than people expect. Storage is the easy part. Most losses happen in the minutes at a loading dock, during a vehicle transfer, which is exactly where our refrigerated transportation service focuses its controls, or in a delay nobody recorded.

The Regulatory Position

What The Rules Ask Of Your Logistics Provider

Businesses often assume that regulatory responsibility for drug storage sits entirely with the drug company. It does not. Health Canada’s guidance on environmental control of drugs during storage and transportation places obligations directly on the contract acceptor, meaning the logistics provider carrying out the work, the same accountability we build into our temperature-controlled shipping services and the sustainability standards behind our eco-friendly logistics program. A provider storing or transporting drugs is expected to work to Good Manufacturing Practices, and each building used to store drugs must be named on the licence holder’s establishment licence annex. That has a practical consequence worth knowing before you choose a partner: you cannot simply send pharmaceutical stock to any cold store with space. The facility has to be one your licence covers, operating to standards that will hold up when an inspector asks. It is worth asking any provider directly what their position is, including us.

What We Handle

Products That Need A Controlled Chain

Goods where a few degrees decides whether they can be used at all.

All of these share a feature that makes cold chain work unusually unforgiving: you generally cannot tell by looking whether the product is still good. A vial that spent six hours too warm looks exactly like one that did not. That is why an excursion, meaning any period outside the required range, has to be investigated and documented rather than judged by eye, the same standard we apply across our reliable temperature-controlled logistics operations, and why the decision to release or reject a batch rests on the temperature record instead of an inspection of the goods. It is also why we would rather flag a possible excursion and be wrong than let one pass unrecorded.

The Standard Behind It

What Makes A Cold Chain Validated

Qualified Equipment

Refrigeration and monitoring equipment tested and documented as capable of holding the range it claims.

Mapped Storage Areas

Temperature mapping identifies warm and cold spots in a room, so sensors sit where readings actually matter.

Calibrated Sensors

Monitoring devices calibrated on a schedule against a known reference, with certificates retained.

Written Procedures

Documented instructions covering receiving, storage, loading, transport and what happens when something goes wrong.

An Excursion Procedure

A defined process for investigating, recording and reporting any period outside range, rather than a judgement call on the day.

Records Ready For Inspection

Temperature histories, calibration certificates and procedures retained and retrievable when an auditor asks.

Common Questions

Questions About Cold Chain Logistics

The unbroken run of controlled temperature conditions a product passes through from production to use. If the temperature moves out of range at any point, including during loading, the chain is broken.

Refrigerated transport is one part of a cold chain. A cold chain covers storage, handling, transport, every handover between them, and the records proving conditions held throughout.

Any period where a product goes outside its required range, however brief. For regulated products it must be investigated and documented rather than assessed by looking at the goods.

Chilled at 2 to 8°C, controlled room temperature at 15 to 25°C, and frozen where required. Tell us your product's labelled conditions and we will confirm what we can support.

Because you cannot tell by inspection whether a temperature-sensitive product is still good. The temperature record is the evidence a batch is released or rejected on.

Yes. A temperature history is issued per shipment, alongside calibration and procedural records where required.

You are notified while there is still time to act. The event is investigated and documented following a written procedure, and the record goes to you for the release decision.

Clinical trial drugs fall within the same regulatory scope as commercial drug products. Discuss your specific protocol with us so we can confirm what is workable.

Buildings used to store drugs must appear on the licence holder's warehouse annex. Raise this early, with us or any provider, since it affects whether stock can legally be stored there at all.
